Customer Service Representative & Administrative Assistant

Job Purpose Summary

Works in conjunction with sales department management to provide customer service to new and existing customers, multifaceted general office support, and account maintenance to assist field representatives.


Key Responsibilities & Accountabilities

  • Answer and direct calls according to agreed standards in an efficient, professional and courteous manner.

  • Proficient in Microsoft Office, Word and Excel.

  • NetSuite experience helpful but not required.

  • Communicate verbally and in writing between customers, suppliers, visitors, enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.

  • Answer requests on behalf of sales representatives in their absence according to agreed guidelines and policies.

  • Provide sales representatives with relevant account support for major clients.

  • Maintain and develop existing and new customers through planned individual account support utilizing computerized customer database, NetSuite.


Primary Objectives

  • Provide support to the sales department to allow sales representatives to maintain good standing relationships with new and existing accounts and to alleviate the day-to-day procedural responsibilities from said representatives.

  • Establish and maintain effective working relationships with co-workers, supervisors, and the general public.

  • Maintain regular consistent and professional attendance, punctuality, personal appearance and adherence to relevant health and safety procedures.

  • Pursue personal development of skills and knowledge necessary for the effective performance of the role.

  • Adhere to state policies and procedures relating to health and safety and quality management.


Required Knowledge, Skills, and Abilities

  • 3+ Years Customer Service or Administrative Experience
  • Good to Advanced Computer Skills, 50+ WPM
  • Service Oriented and Client Focused with a Professional Demeanor
  • Advanced Organizational Skills, Detail Oriented with the Ability to Multitask
  • Excellent Oral and Written Communication Skills
  • Knowledge of HVAC or Energy Management Services is a Plus
